Group D is a group of young people between ages 20-35. The group is seeking proposals from agencies with relevant experience in catering to make preparation and host a dinner party for friends and relatives of the group. The objectives of the project are: 1.      Make preparation for the dinner party 2.      Submit proposals for the meal plans for the dinner party 3.      Oversee the overall dinner plans and execution of the dinner party In addition the proposals submitted must provide group D with information regarding: 1.      The most cost effective plan of executing the dinner party 2.      The best method of making entertainment arrangements 3.      The most cost effective and efficient way of inviting guests. The contents of this research proposal should be considered confidential 1. Statement of work The dinner planning agency will perform the following tasks: Task 1: Identification of the requirements of the dinner party The planning agency should provide an assessment and plan of all the requirements that should be available in order to make the dinner party successful. Further, the contractor should come up with a comprehensive and exhaustive list of both the basic and vital requirements of the dinner party. Task 2: Determine the best approach to manage the dinner party The proposals should indicate the best, most efficient and cost effective way of managing the dinner party. Evaluation of the best approach should also include the most appropriate and convenient way of managing the group party. Task 3: planning of the dinner party The overall management and preparation of the dinner party from the start to completion will be conducted by the contractor. This will include management of delivery schedules, choice of appropriate venue, invitation of guests and preparation of meals. 2. Requirements The proposals submitted should indicate clearly all the necessary requirements that should be made available in order to make the dinner party successful. The requirements could range from meals, utensils, venue and other miscellaneous items. The proposal should also clearly indicate the best and appropriate way of conducting the dinner party. In the planning, the planner should put due consideration of the possibility of guests such as children and the elderly being present during the party. Furthermore, in choosing the meals to be available, the proposals should consider a wide range of food varieties. The food varieties proposed should cut across all cultures.             Entertainment is vital to this party; consequently the proposal should suggest the possible entertainment strategies that could be employed by group D.  Entertainment could range from invitation of well-known comedians, armature comedians or any other entertainment strategy that is deemed suitable in hosting a dinner party for friends and relatives. ……. …..             Based on the analysis and assessment of the size and the requirements of the party, the contractor should provide the best and cost effective way of the overall management of the dinner party. Additionally, recommendation on the possible ways of reducing unnecessary costs should be provided. In this regard the planning agency should: 1.      Suggest the overall management strategy to be used and price of commodities 2.       Suggest the methods to be used in inviting guests. 3.      Provide titles and roles of individuals during the planning and execution process. 3. Deliverables a.       A detailed report of task 1 must be prepared and provided by the contractor. The report should provide an in-depth analysis of all the basic requirements of the party based on the assessment of the expected number in attendance and cost effectiveness. Electronic copy and ten hard copies of the report should be provided. b.      In regards to the analysis of task1, 2 and 3 the contractor should provide a recommendation of the possible ways to reduce the overall cost of the project. Further, the report should possibly suggest the most efficient and cost effective suppliers that could be employed in the preparation and execution plans. The planner should provide an electronic copy and ten hardcopies of the report. c.       Reports on the status and progress of the dinner party planning should be emailed to Group D every week. The reports should comprehensively detail: progress in the panning process, obstacles experienced or anticipated and amount of money expended. For any plans behind schedules a plan should be proposed to ensure that the dinner party is conducted within the original time schedule and budget. 4.      Acceptance criteria  It is obligatory that reports that were identified in A and B in section 3, deliverables, should contain all the information that was outlined in section 2, Requirements, in order for the reports to be accepted by group D. Additionally, the final payments as indicated in section 10 will not be made until Group D is satisfied with reports. 5.      Information supplied by Group Group D will provide the dinner planner with a detailed report of the expected number of guests, budget limits and actual date of the dinner party. 6.      Approvals required The expected dinner planner must obtain approval from group D in terms of the reports in A and B before commencement of the preparations. 7.      Type of contract The contract will be fixed price for all the work that is proposed by the dinner planer to meet the requirements of this request proposal. 8.      Due date The dinner planner should provide an electronic copy and four (4) hard copies of the proposal to Group D on or before February 12, 2014. 9. Schedule Group D expects to select a viable dinner planner by 20th February 2014. The required period for planning is expected to be two (2) months from 20thFebruary. Report identified in item A should be delivered on or before 5thMarch while a report identified in item B in section 3 should be delivered to Group D on or before 15th March. 10. Payment terms ……. ….. Group D will make payments to contractor according to the following schedule ·         15% of the total amount upon approval of the proposal by Group D ·         40% of the total amount when report on item A in section 3, Deliverables is accepted by group D. ·         15% of total amount when report on item B in section 3 deliverables is accepted by Group D. ·         30% of total amount when the dinner party takes place successfully. 100% complete and the contractor has fulfilled all the contractual obligation 11. Proposal contents  As a minimum the proposal of the contractor should contain the following: a. Approach  There should be a detailed discussion that shows that the contractor clearly understood the request proposal. Further, there should be a statement of the approach to be used by the contractor. b. Deliverables  There should be a clear description of each deliverable provided by contractor. c. Schedule  A clear schedule of daily activities should be provided. d. Experience  Contractor should provide a discussion of recent similar projects performed including names, addresses and phone numbers e. Staffing  Names and detailed resumes of the specific individuals who will be assigned the duty of planning and execution of the dinner party should be provided. f. Costs  Expected total fixed costs should be provided. Moreover, there should be a detailed breakdown of the costs per item and cost per hour. Additionally, all the direct and indirect expenses should be included. 12. Proposal Evaluation Criteria  Group D will evaluate the proposals based on the following: a. Approach (30%) This will involve evaluations of the approaches that are proposed by the contractor b. Experience (30%) This will be evaluation of the contractor’s past experience in organizing dinner events. c. Price (30%) Evaluation of the fixed prices offered by the contractor d. Schedule (10%) Would involve the evaluation of the contractor’ breakdown of the schedule and completion of the planning before or on the actual date of the dinner party ……. …..
